2026–2027 ERC Program Policies
These policies apply to athletes registered in Elite Rhythmic Centre programs for the 2026–2027 season. Please review them carefully before completing registration.
1. Registration & Membership
Registration is confirmed once the required registration form, annual ERC registration fee, Gymnastics Ontario insurance fee, and first tuition payment have been received.
All athletes must be registered with Gymnastics Ontario and have current insurance coverage before participating in classes.
2. Tuition & Payment
Tuition is based on the athlete’s registered program and is paid in monthly instalments. Payments are due on the first of each month.
Monthly tuition reserves the athlete’s place in the program and contributes to ongoing club operating costs, including coaching and facility expenses. Tuition is therefore payable each month regardless of absences, vacations, holidays, or other missed classes.
There are no credits, refunds, or reductions in tuition for classes missed due to personal absences or family vacations.
3. Withdrawal from the Program
Recreational Athletes:
Families may withdraw from the program by providing 30 days’ written notice to Elite Rhythmic Centre. Tuition remains payable during the 30-day notice period. Once the notice period has ended, future monthly payments will be cancelled.
Temporary withdrawals or pauses in tuition for vacations, extended absences, or other personal reasons are not available. Families wishing to return after withdrawing will be subject to space availability and current registration requirements.
Competitive Athletes:
Withdrawal requirements may differ due to training and competition commitments and will be outlined in the athlete’s competitive program agreement.
4. Attendance & Missed Classes
Regular attendance is encouraged to support each athlete’s progress and continuity in the program.
ERC does not provide make-up classes, credits, or refunds for classes missed due to personal absences, vacations, illness, or scheduling conflicts.
If an athlete will be absent, parents are encouraged to notify the coach through the team’s WhatsApp group.
If ERC cancels a class, the club will make reasonable efforts to provide a make-up class or an appropriate credit.
5. Communication
ERC uses email and WhatsApp groups to communicate important program information, schedules, reminders, and updates to families.
Parents are responsible for ensuring that ERC has current contact information and for reviewing communications from the club and coaching staff.
Team or class WhatsApp groups are intended for program-related communication. Questions regarding an individual athlete, payments, or other private matters should be directed to the appropriate coach or ERC administration rather than posted in the group.
For urgent schedule changes or absences, families should notify the coach as soon as possible.
6. Athlete & Parent Conduct
ERC is committed to providing a positive, respectful, and safe environment for all athletes, coaches, families, and staff.
Athletes are expected to treat coaches, teammates, other participants, and the facility with respect and to follow the instructions of the coaching staff.
Parents and guardians are expected to communicate respectfully with coaches, staff, athletes, and other families and to support a positive training environment.
Parents are asked to remain outside the training area during classes unless invited in by a coach. This allows athletes to focus on their training and coaches to work effectively with the group.
Concerns regarding an athlete or program should be discussed privately with the coach or ERC administration rather than during class time or through a group WhatsApp chat.
7. Safety, Health & Participation
Athletes should arrive ready to participate safely in their scheduled class and follow all safety instructions provided by the coaching staff.
Parents or guardians should inform the coach of any injury, illness, or other circumstance that may affect an athlete’s ability to participate safely.
Coaches may modify or restrict an athlete’s participation when necessary for safety. An athlete who is unwell or unable to participate safely may be asked to sit out or leave the training area.
Appropriate gymnastics attire is required. Hair should be securely tied back, and jewelry or other items that may create a safety risk should be removed before training.
8. Waiver, Assumption of Risk & Consent
Participation in gymnastics and related activities involves inherent risks, including the possibility of injury. By registering an athlete with Elite Rhythmic Centre, the parent or legal guardian acknowledges and accepts the risks associated with participation in the program.
Parents or legal guardians consent to their child participating in ERC programs and activities and agree that the athlete will follow the safety rules, policies, and instructions of ERC and its coaching staff.
In the event of an injury or medical emergency, ERC staff may provide appropriate first aid and, when necessary, contact emergency medical services. Every reasonable effort will be made to contact the parent or guardian as soon as possible.
Gymnastics Ontario Informed Consent & Assumption of Risk
As part of registration, all participants and/or their parent or legal guardian must review and agree to the Gymnastics Ontario Participant Informed Consent and Assumption of Risk Agreement for the 2026–2027 season.
